Our Solution

AISI developed a custom AI Certificate Management Agent designed to automate the end-to-end lifecycle of equipment compliance. By integrating with the client’s existing Microsoft 365 ecosystem (Teams, SharePoint, and Email) and WhatsApp, we created a seamless, "zero-friction" workflow.

  • Intelligent Document Ingestion: Users simply capture a photo or upload a PDF of a certificate via Microsoft Teams or WhatsApp.​

  • AI-Powered OCR Extraction: Using AI Document Intelligence, the agent automatically extracts key data points—such as Certificate Type, Serial Number, and Expiry Date—with high-confidence text recognition.

​​

  • Automated Database Integration: Once confirmed by the user, the agent automatically updates the centralized Excel tracking sheet on SharePoint, creating new entries or extending existing ones without manual typing.

​​

  • Proactive Expiry Alerts: The system tracks remaining days and automatically triggers multi-stage alerts (90, 60, and 30 days before expiry) via Teams or WhatsApp to ensure timely renewals.

The AI Agent slots seamlessly into Site team's existing daily workflow, without disrupting operations or requiring to learn new systems/processes.
